Easy Submission Checklist

Ad Design Request/Artwork Submission

  1. Refer to your email reminder or Ad Orbit ticket to find your ad type.
      • Ad Orbit is the online CRM platform used during the production process and where you will find your ticket to upload materials to and order info. Visit your client center.
    • Refer to our print/digital ad specs to plan your ad. Specs found here: PHOENIX magazine | Phoenix Home & Garden
        • Provided copy will be edited to Cities West Media style.
        • Please include any applicable Photo credit requests.
        • Ad positioning requests cannot be guaranteed, but we will do our best to accommodate.
      • Prepare print-ready PDF ad (for provided ads) or Prepare ad artwork, including: images, design instructions, logo, final copy (for ad design request).
        • Refer to sales sheet for required materials.
        • Prepare ad copy in a Word doc (or similar) that includes your copy and contact info.
        • Do not put images inside the Word doc.
      • Refer to the email reminder or Ad Orbit dashboard for the ticket link
        • Each asset has a unique ticket [i.e. print, email, and newsletter ads will each have a ticket] and you will receive an email reminder for each.
      • Upload final PDF or ALL design request materials to your ticket at the same time
        • To ensure resolution, accuracy, and timely production we prefer you do not email materials.
        • Images that exceed AdOrbit’s file size limit (100 mb) should be submitted via a dropbox (or similar) link emailed to: materials@citieswestmedia.com. Please be sure links are available to anyone with the link (not restricted by email address) and reference your ticket # in your email.
        • You will not receive a confirmation of receipt when you upload your materials. If they are listed in the ticket, they have been successfully uploaded and it is not necessary to email us to confirm.
      • For ads we’re designing: your proof and instructions will be emailed to you for your review/approval.
        • You will receive two rounds of revisions to make corrections which must be received within 24 hours.
